Reservation procedure
When you find a home in ‘RENTAL HOMES’ that you are interested in you can send an enquiry by clicking ‘contact us’. Be sure to include the reference number of the home located at the top of the feature page for each home.
Upon receiving the request, we will confirm availability and provide you with a detailed cost of the rental. Do not hesitate to call us to discuss your specific needs when choosing a home as we are familiar with all the homes we feature. When you have made your decision, please email or call us.
Once we have confirmed availability of the home of your choice we will email or fax your Rental Agreement which includes a Rate Sheet that will let you know how much the rent will be for the home you have chosen.
Guest rental agreement
The formal Rental Agreement will be sent by email as an attachment or fax. Please complete and sign the agreement and FAX YOUR SIGNED COPY IMMEDIATELY to our office at 1.888.785.6544
*Note, all payments must be made in Canadian Funds. For your convenience we offer a Paypal option for VISA or MASTERCARD.
Reservation confirmation
Receipt of the faxed signed agreement will suspend the property’s availability for 10 days. Further requests for the same time frame will be placed on a waiting list. If we do not receive the signed agreement and the required payment in the mail within the 10 days, we will release the property for rental to others. It is important you return your completed and signed Rental Agreement and payment immediately. Once your payment has cleared our bank we will confirm receipt of your payment by sending you an email or fax.
Rental rates
All rates are in Canadian dollars. The Federal Harmonized Sales tax (HST) of 12% and the Hotel Room Tax (PHT) of 8% may apply. *At this time these taxes do not apply to the majority of the homes we offer.
Security/damage/houskeeping deposit
Prior to your arrival, the vacation property will be cleaned to our ‘Hotel Clean’ standards. Your vacation home will have clean bed linens and towels. The beds will be made for you the bathrooms and kitchen will be sanitized and the floors will be swept and washed. Garbage and recycling will be removed from the property before each arrival. We pride ourselves in offering clean accommodations to all our guests. Following your departure, the home will be returned to the same cleanliness that you found it in when you arrived. The home will be cleaned and prepared for the next guest’s arrival. Cleaning expense is included in the rental rate however we reserve the right to deduct from the Security Deposit in the event excessive cleaning is needed to bring the home back to our ‘Hotel Clean’ standards. We encourage guests to leave the homes in a tidy condition upon departure.
Payment:
Plan A
For reservations made more than 60 days before the arrival date:
50% of the total rental amount is due upon booking.
An invoice will be sent by email or fax.
The balance of rental fee plus security/damage/housekeeping deposit is due no later than 60 days before the arrival date. An invoice will be sent by email or fax indicating the balance due after receipt of the initial deposit.
Plan B
For reservations made less than 60 days before the arrival date:
100% of the rental and security/damage/housekeeping deposit amount is due upon booking. An invoice will be sent by email.
Upon all payments clearing your financial institution, your booking will be confirmed by email or fax.
*All monies will be held in a Trust Account until the appropriate time of pay out.
Cancellations
Confirmed reservations are non-refundable. However, if you must cancel, we will attempt to re-rent the property and, if successful, you will be refunded the rental payments received less a 10% cancellation fee. We cannot guarantee we will be able to re-rent the home.
The damage/security/housekeeping deposit is refundable unless there is damage that occurred during the rental period to the home or contents.
Directions and keys
After having received the signed Rental Agreement and with your final payment clearing your financial institution, we will then send you confirmation of your booking, a statement as receipt of payment plus directions to the home, how to pick up the key and any information you may require regarding the vacation property of your choice.
Check-in and check-out
Reservations are generally from Saturday to Saturday, although there are some exceptions. Please check the rental information we send to you.
CHECK IN TIME IS 4:00 P.M. AND CHECK OUT TIME IS 10:00 A.M.
Please adhere to these times, so that the property may be prepared for other guests. These times are planned so they correspond with convenient arrival and departure times for the ferry.
Telephone
Most hosts have blocked long distance calls from their telephone service. The vacationer should be aware of this feature and make arrangements should they wish to make long distance calls. Your own telephone service provider’s calling card may be acceptable to the provincial supplier, Telus B.C. (please check) or a calling card may be acceptable. On phones without a block it is asked that you DO NOT make long distance calls using that number. Should there be any long distance calls billed to the host that were made from the home during your stay this amount will be taken from your security/damage/ housekeeping deposit.
Occupancy
Cortes Island Vacation Rentals rents only to adults over the age of 21. Loud parties, rowdiness or large gatherings over and above the number of registered guests is not allowed. Any breach can result in immediate eviction with no refund. If you are planning a family gathering or party on the property Cortes Island Vacation Rentals must be advised in advance and reserves the right to refuse. Although most of our homes are in very private settings there are still neighbours not far away and we ask that you respect the rights of the neighbours to have quiet enjoyment of their neighbourhood.
